What Thawing Fox Does
Thawing Fox is a browser extension that operates inside Gmail and Outlook web interfaces to help users warm up mailboxes. The extension can detect supported mailbox tabs, prepare and send warmup emails, append a tracking reference such as Ref: TF-XXXX, search for that reference inside supported mailbox views, determine whether a tracked message landed in inbox or spam/junk, and, when enabled by the user, mark messages as read, move messages out of spam/junk, and send replies on the user's behalf.
Information We Process
Information processed locally in the extension
- Warmup templates and template text you store in the extension.
- Mailbox configuration stored in extension local storage, such as connected mailbox addresses, schedule settings, and reply probability settings.
- Local activity logs and state used to track sends, placements, reads, replies, and extension UI status.
- Visible Gmail and Outlook page content that the extension inspects locally in your browser to find tracking references and identify the current folder or thread placement.
Information sent to or stored by Flowy
- Account, authentication, and subscription information, such as your email address, name, session state, plan status, and billing status.
- Warmup mailbox metadata, including mailbox email address, first and last name values you provide, mailbox status, and reply-probability settings.
- Operational identifiers such as install IDs, tracking IDs, reply tracking IDs, reservation IDs, and assignment IDs.
- Warmup and peer-to-peer operational metadata, including sender and recipient mailbox addresses, message subject lines, placement status, read timestamps, spam-recovery timestamps, reply state, and reply-completion timestamps.
- Support communications and other information you send to us directly.
Information we do not currently describe as server-stored for warmup tracking
The extension may read visible message content inside Gmail or Outlook locally in your browser to locate a tracking reference and automate mailbox actions. However, the current Thawing Fox warmup and tracking workflow is not described as requiring Flowy to upload or persist full email bodies from your mailbox on our servers.
How We Use Information
- To operate the extension and website, authenticate users, and deliver the requested warmup features.
- To reserve send capacity, sync mailbox state, and report placement, read, and reply outcomes.
- To automate Gmail and Outlook actions that you enable, including searching for tracked threads and sending or replying to messages within your active webmail session.
- To provide billing, customer support, fraud prevention, service diagnostics, and product improvement.
- To comply with legal obligations and enforce our agreements.
Website Analytics and Service Providers
We use third-party service providers to run parts of the service, which may include:
- Authentication and account infrastructure.
- Payment processing and subscription management, including Stripe.
- Website analytics and product measurement, including PostHog on our site.
- Error monitoring, cloud hosting, storage, email delivery, and customer support tooling.
These providers process information under their own terms and privacy policies and only to the extent needed to provide services to us.
Legal Bases and Sharing
Depending on where you are located, we may process information because it is necessary to provide the service you request, because we have legitimate interests in operating and securing the service, because we need to comply with legal obligations, or because you have given consent where required.
We may share information with service providers, professional advisers, corporate transaction counterparties, and authorities when reasonably necessary for legal compliance, fraud prevention, or protection of rights. We do not sell personal information from your mailbox content.
Retention
We retain server-side information for as long as reasonably necessary to operate the service, maintain billing and business records, resolve disputes, investigate abuse, and comply with legal obligations. Information stored locally in the extension remains on your device until you delete it, remove the extension, or your browser clears that storage.
Your Choices
- You can stop automated mailbox actions by pausing or uninstalling the extension.
- You can delete or change mailbox settings, local templates, and certain account information from the product interfaces.
- You can contact us to request access, correction, or deletion where applicable law provides those rights.
Security
We use reasonable administrative, technical, and organizational measures designed to protect information. No service can guarantee absolute security, and you are responsible for maintaining the security of the devices and mailbox sessions where you run the extension.
Children
Thawing Fox is not directed to children under 13, and we do not intend the service for that audience.
Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we may update the effective date above and provide notice through the site, the extension, or other reasonable means.
